How to Send Invitations

Send email invitations to judges (for judged voting contests) or voters (for simple voting contests) so they can easily access and participate in your contest.

Step 1: Add Judges or Voters with Email Addresses

When adding judges or voters to your contest:

1. Navigate to your contest dashboard
2. Go to the Judges section (for judged voting) or Voters section (for simple voting)
3. Click "Add Judge" or "Add Voter" or "Add New Judge/Voter"
4. Enter the judge's or voter's Name
5. Enter the judge's or voter's Email address
6. Optional: Link the judge/voter to an entry if they also have an entry (prevents self-voting)
7. Save the judge or voter

Note: Adding a judge or voter with an email address does not automatically send an invitation. You must manually send invitations (see Step 2).

Step 2: Send Invitations

To send invitations to judges or voters:

1. Go to your contest dashboard
2. Navigate to the Judges section (for judged voting) or Voters section (for simple voting)
3. For individual invitations: Click "Send Invitation" or "Resend Invitation" next to each judge's or voter's name
4. For bulk invitations: Click "Bulk Send Invitations" to send to all judges or voters with email addresses
5. The email includes:
6. A personalized magic link for easy access
7. The contest code
8. A link to the contest landing page
9. Instructions on how to participate

Step 3: Resend Individual Invitations

If a judge or voter didn't receive their invitation or needs it resent:

1. Go to your contest dashboard
2. Find the judge or voter in the Judges or Voters list
3. Click "Resend Invitation" icon next to their name
4. The invitation will be sent when you click the button

Step 4: Bulk Send Invitations

To send invitations to all judges or voters at once:

1. Go to your contest dashboard
2. Navigate to the Judges section (for judged voting) or Voters section (for simple voting)
3. Click "Bulk Send Invitations"
4. Invitations will be sent to all judges or voters with email addresses when you click the button

Tips

• Judges and voters can participate even without email invitations by using the contest code
• Magic links provide one-click access - no need to remember codes
• Judges and voters can unsubscribe from emails if they no longer wish to receive notifications
• You can add judges or voters without email addresses - they'll need to use the contest code manually
• Remember: You must manually send invitations - they are not sent automatically when you add judges or voters

Troubleshooting

• Email not received?: Check spam folders, verify the email address is correct, and manually resend the invitation
• Judge/Voter can't access?: They can always use the contest code from the landing page (make sure the contest is open)
• Need to update email?: Edit the judge's or voter's information and manually resend the invitation
